Privacy Policy

Sarah Everett Photography is committed to safeguarding the privacy of all customers.

Introduction

Capturing your family enjoying life together is always my main aim when we work together but your right to privacy is also hugely important to me. Whether this be through contacting me with an enquiry, planning your session with me or following our session together. Here you will read about how I will use your personal data to provide you with the best service possible. As a sole trader please rest assured that your data will never be shared with a third party other than to provide my service to you. For example Pixieset (My online gallery provider – Images will be shared here), Paypal and MailChimp is another email provider I use to contact you. Where product purchases are made your images will be processed via my printers, no other personal information will be shared. Your name will also be viewable on my profit/loss spreadsheets which are shared with my accountant.

Who am I?

I am a sole trader, Sarah Everett. I run my photography business from my home under the name Sarah Everett Photography.

What information do I collect?

I collect your data in order to provide my service to you. Once you have made a booking with me I will collect information to prepare for your session. Your email address is used to correspond with you in preparation for our session together as well as to invite you to view your online gallery once your images have been processed. I use your phone number to send a reminder text the day before our session unless we have already been speaking online, I would also use it to contact you on the day of our session if I am unwell, running late or if the weather is unfavourable. The names/ages or your children also help me to prepare for your session, ie if I am bringing any props along to suit their size, to introduce myself to them when we meet and to think of things to entertain them with during our session. This information is stored in my personal emails which are password protected.

At times clients may wish to go on a waiting list for upcoming session days. In this case names and email addresses are collected. I also keep monthly profit/loss spreadsheets, again your name would appear here in relation to your booking. These are held on a spreadsheet, both my computer and mobile phone are password protected.

For small product orders such as prints your address would be collected to send your items to you.

As a photographer the main data I collect are your images. Your right to privacy has and always will be respected.

How do I use personal information?

As above I use your personal information to correspond with you as well as to prepare for our session together.

When preparing your online viewing gallery I am able to personalise your experience by using your name or your child’s name as the title of said gallery. All online galleries are password protected and hidden from public view. Only you and I have access to these images.

I also use your information for administration purposes – On my profit/loss spreadsheets, my diary and image storage.

Your images – As a photographer sharing images online shows my style of work to future potential clients. This may be on social media (Facebook, Instagram, Twitter) or on my website, including my blog. I will always ask for your permission to do this and will respect your right to privacy always. Where images are consented to be shared on social media no other personal information would be shared, ie name of your child. In cases of School Portraits no images would ever be shared containing school logos. For blog purposes again no child names would be shared unless parents provide their permission. 

How long do I keep your personal data for?

Your data will be held for no longer than is reasonably necessary. Details of your purchases will be held in my profit/loss spreadsheets indefinitely for accounting purposes, this will include your name and amount paid.

Your purchased images will be archived for 5 years as a back up for you and for me to view my progress as a photographer. These are saved on an external hard drive accessed via my password protected computer.

Images that have not been purchased will be held for 2 months after our session unless a client has asked to return at a later date to purchase additional images.
